Privacy Policy

This Privacy Policy ("Policy") explains the rules for processing personal data ("Data") collected through the CampusAI platform, available at: http://platform.campus.ai/, https://app.campusai.pl/, https://app.campus.ai, https://campus.ai/ and https://campusai.pl/ ("Platform"). CampusAI strives to ensure that Data are processed in accordance with the law, including in accordance with the Regulation of the European Parliament and the Council (EU) 2016/679 of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such Data, and repealing Directive 95/46/EC (General Data Protection Regulation) ("GDPR").

The terms used in the Policy have the meanings assigned to them in the Platform's Terms and Conditions available here.

1. Data Processing Information

("We" or "CampusAI").

  1. For matters concerning questions, requests and complaints related to Data processing ("Submissions"), you can contact us:

    a. by email at info@campus.ai; or

    b. in writing to the address: ul. Chmielna 73, 00-801 Warsaw, Poland.

  2. In your Submission, provide: (i) The Data of the person the Submission concerns, (ii) a description of the incident the Submission relates to, and (iii) the expected resolution for the reported issue.

  3. As part of the Platform, CampusAI processes Data in order to:

    a. take steps upon request before entering into the Agreement and for its performance, including delivering the Products -- under Article 6(1)(b) of the GDPR;

    b. send commercial information (including the newsletter) through the communication channel for which voluntary marketing consent has been given, i.e., by email to the specified address and/or phone notifications (SMS/MMS), for the purpose of presenting offers and commercial terms -- under Article 6(1)(a) of the GDPR;

    c. meet CampusAI's legal obligations (e.g., arising from accounting and tax regulations) -- under Article 6(1)(c) of the GDPR;

    d. pursue CampusAI's legitimate interest, which is: (i) establishing, pursuing, or defending against claims; (ii) running analytics, marketing, or statistical activities on the Platform in connection with the use of cookies; (iii) conducting direct marketing---especially for potential Platform users---to request permission to contact users and send them commercial information regarding the marketing of services and Products offered by CampusAI (i.e., promoting CampusAI's Products and services); (iv) handling contact, e.g., when users reach out to CampusAI via the contact form or in connection with a Report; (v) for people representing the User or designated by the User as a contact, performing the agreement concluded with the entity that person represents -- under Article 6(1)(f) of the GDPR.

  4. When you take the Big Five test provided by CampusAI, CampusAI processes Data to take steps you request before entering into the Agreement and to perform the Agreement, including providing the Products -- under Article 6(1)(b) of the GDPR. Conducting the test and providing the raw results (profile of the five dimensions of personality) involve the processing of ordinary personal data. If preparing an interpretation of the results might reveal information about someone's mental health or emotional state, political opinions, or worldview, it could result in the creation of special categories of personal data. In such cases, the legal basis for processing is Article 9(2)(a) of the GDPR (explicit consent of the data subject). The test result and any interpretation may constitute profiling under the GDPR, but they don't create legal effects for the data subject, nor do they similarly significantly affect them without human involvement. Decisions aren't made solely by automated means.

  5. We've included more detailed information, including the legal basis for processing Data within individual cookie files, in Section 2 below.

  6. CampusAI may transfer Data to partner entities, including IT system providers; payment operators; legal, accounting, collection, and training service providers; courier and postal service companies; as well as all institutions authorized by applicable law, particularly courts and tax offices. In all cases, the recipients mentioned above will process the Data under appropriate authorization, a personal data processing agreement, or under applicable law.

  7. Generally, data will be processed within the European Economic Area (EEA). In exceptional cases, the data can be shared with CampusAI partners who process it outside the EEA, but only to the extent necessary for collaboration with those partners. Data will be transferred to countries for which the European Commission has issued an adequacy decision, and, if there isn't one, security will be ensured by appropriate safeguards, including standard contractual clauses approved by the European Commission. The Data Subject has the right to obtain a copy of the safeguards for Data transferred outside the EEA by contacting CampusAI. CampusAI ensures the Data's confidentiality and states that only the Data necessary for the proper performance of the Agreement will be transferred, and the transfer will rely on the appropriate safeguards required by law.

  8. CampusAI doesn't retain Data longer than necessary to provide services, including delivering the Products for which it was collected---that is, until the Agreement expires or the statute of limitations on any related claims runs out. If you contact CampusAI, such Data is retained until the matters related to that contact are concluded, unless the law requires otherwise.

  9. For Users, CampusAI processes the following Data: first name, last name, email address, and VAT ID. This data is provided directly by the User.

  10. For individuals who represent the User or whom the User has designated to contact CampusAI, CampusAI has received their Data (in the form of: first name, last name, email address, phone number, and job title) from the User they represent or on whose behalf they act.

  11. When Data is processed on the basis of consent, the User has the right to withdraw that consent at any time. Data processing remains lawful until consent is withdrawn.

  12. The Data Subject has the right to lodge a complaint with a supervisory authority in Poland: President of the Personal Data Protection Office.

  13. The Data Subject has the right to request from CampusAI access to the Data, their correction, deletion or restriction of processing, as well as the right to object to the processing of the Data and the right to Data portability.

  14. Providing the Data is voluntary, but the collaboration with CampusAI is not possible without it (e.g., entering into or performance of the Agreement, contact with CampusAI, access to information and materials about the Products). On the Platform, Users aren't subject to automated decision-making, including profiling.

2. Cookies

  1. As part of the Platform, CampusAI uses cookies or other similar technologies, so using the Platform requires placing small text files on your Device. These contain information used by websites that connect with your browser and other data storage mechanisms, collectively called cookies. While using the Platform, CampusAI collects and stores information from browsers, which may include Data.

  2. CampusAI uses the necessary cookies to deliver services and Products, and ensure the Platform's functionality. The legal basis for Data processing in connection with the use of necessary cookies is the necessity of processing to execute the Agreement --- pursuant to Article 6(1)(b) of the GDPR if CampusAI enters into a Agreement with the User, or CampusAI's legitimate interest under Article 6(1)(f) of the GDPR, which is to ensure the highest quality of services within the Platform.

  3. In the case of other cookies, referred to as "optional cookies," the legal basis for Data processing in connection with the use of cookies, including adapting the platform's functionality to Users' needs and preferences, is consent -- Article 6(1)(a) of the GDPR. Users can withdraw any consents given at any time adjusting the cookie settings in their browser.

  4. Cookies' activity period is as follows: for temporary cookies, the files are automatically deleted after a specified expiration date; for permanent cookies, the files remain active in your browser until you delete them, which you can do at any time.

  5. Users have the right to use the cookie management features offered by each browser. To obtain additional information, you can check the privacy/safety settings in your browser. Deleting cookies can affect the proper functioning of the Platform, its features and the accuracy of the Platform's display, as well as cause the loss of preferred website settings within the Platform. Blocking or restricting cookies on the End Device may negatively impact the Platform's functionality.

  6. CampusAI uses the following types of cookies:

    • (i) essential -- necessary for the proper functioning of the Platform, including storing the current session, enabling the Platform to function, and improving its performance;

    • (ii) analytical -- enabling analysis and statistics related to the Platform;

    • (iii) functional -- used to remember and tailor the Platform to the User's choices;

    • (iv) advertising -- when running ad campaigns, to tailor ad content and remember ad settings.

In addition, within these types of cookies, CampusAI also uses third-party cookies, i.e., placed by external entities such as Google Analytics or Facebook Pixel. For external cookies, the rules for their processing are also described in separate documents provided by third parties.

3. Final Provisions

  1. As technology advances and CampusAI's offering evolves, the Policy may change, and you'll be notified by CampusAI via the Platform or by email.
